Trick or Treat? It’s Always a Treat with Softworks!

Posted by Eimear McCarthy on Fri, Oct 21, 2016

Trick or Treat-1.jpg

It’s almost that spooky time of year again – ghouls, goblins, gremlins and of course, the tradition of kids knocking on our doors declaring “Trick or Treat”. Every kid wants a treat! Isn’t that what we all want? So let’s avoid the tricks this Halloween and look at all the ways Softworks can “treat” you!

1. Save You Time

How much time do you or your HR manager spend each week (or day) trying to make a work schedule? It can be such a nightmare! Using our Workforce Management Software can save you and your business hours per week so more time can be spent on the human aspect of HR within your corporate environment. As Softworks have a web based system, you can manage tasks wherever you are instead of rushing back to the office.

2. Increase Security

Biometric data collection devices (i.e. fingerprint scanners) make it so only an actual employee can clock in and out, which helps eliminate “buddy punching”, the practice of one worker clocking in for another. Spreadsheets are not very accurate, time consuming, and do not provide useful insights. Your organisation should begin thinking about the better alternative – Softworks Workforce Management Solutions.

3. Reduce Absenteeism

Employee absence has a huge impact on any organisation and the best way to control it is with a Time and Attendance Solution. Attendance needs management and absenteeism needs to be controlled. The software will allow an organisation to track rates and report reasons for the absenteeism. Recording absences allows the relevant people such as line managers, colleagues, payroll and so on to be notified. The recorded absences can then be totalised and can used as a management aid. This can be done by highlighting employees with unusual absenteeism levels, comparing how absenteeism varies by department, how it varies over time and so on.

4. Increase Employee Satisfaction

Scheduling and handling time-off requests are an important part of maintaining a satisfied workforce. When employee satisfaction increases, issues such as turnover may decrease. With automated systems, it is possible to quickly review, approve, and address absence requests and manage planned absences to minimise their effect on your business.

5. Reduce Errors

When the onus of responsibility rests with humans, there is always a chance of human error, which can lead to lost time and increased discrepancies. Our Time and Attendance Softwarereduces the risk of human error and ensures an easy, impartial and orderly approach in addressing specific needs without any confusion.

6. Softworks Self-Service Mobile App

Easily turn your administrative nightmare of managing employee time & attendance into a dream come true with Softworks new self-service app. Believe it or not, our mobile app is not a trick. It is simply another treat we have for you, so what are you waiting for?

It’s National Flex Day and Family & Work Life Month!

Posted by Eimear McCarthy on Tue, Oct 18, 2016

When you think of October, you probably think of falling leaves and Halloween. But did you know that today is National Flex Day? Held the third Tuesday of October, National Flex Day is designed to encourage employers and employees to unite behind the need for more flexibility by sharing how pervasive and powerful it already is.

Today is a great opportunity to reflect on all the ways that flexible working is important and how it can benefit your employees and organisation.

For the first National Flex Day in 2013, The Working Mother Research Institute surveyed more than 1,500 people about flexible work schedules and found that women who are working flexibly were more likely to say:

  • Their opinions count at work
  • They have influence over their work schedules
  • They have better work life balance
  • They are satisfied with their compensation
  • They are happy with the amount of time they spend with their spouses and their kids

Last year, they surveyed men to find out what work schedule flex means to them, and the results showed that most of them have flex (77%) and feel comfortable using it.

Below are some of the many benefits of flexible working:

  • Reduced employee stress
  • Improved employee morale, job satisfaction and productivity
  • Controlled costs
  • Reduced absenteeism
  • Increased customer loyalty and customer satisfaction due to lower staff turnover
  • Higher productivity & happier employees
  • Improved balance of work and family life
  • Remove or reduce overtime
  • Improved staff concentration

Are you aware that October is also National Work and Family Month (NWFM)? It is an education campaign led by the Alliance for work-life progress, to raise awareness among employers about the value of work-life effectiveness as a business imperative.

This campaign is supported by President Obama, who released a statement acknowledging the difficulty of juggling work and family responsibilities. He encourages employers to implement practices such as "telework, paid leave, and alternative work schedules."

This annual celebration is designed to communicate and celebrate the progress towards creating healthier and more flexible work environments. The main goal of the campaign is to remind employers about the benefits of supporting work-life balance and effectiveness programs.

Below are some tips on how to encourage a healthy work-life balance:

  • Make use of flexible working
  • Schedule downtime
  • Get moving - execrise will boost your energy & can it can be fit in easily with flexible working
  • Manage stress - Take up yoga/pilates, eat healthier & relax!
  • Prioritise to avoid burnout
  • Create a schedule & follow it

By taking these tips in to account, we hope you will be able to find a healthy work-life balance in your workplace.

October gives us lots to celebrate with National Flex Day and National Work & Family Month. It is a time to recognise all the organisations who want to make life easier for employees to succeed at work and at home by helping them gain a healthy work-life balance.

If you do not currently offer your employees flexitime, contact us today for a free demo, you’d be amazed at the differences it could make to your employees work, mood and lives!

Feel free to check out the rest of our blogs which cover flexible working and work-life balance.

National Work Life Week

Posted by Eimear McCarthy on Wed, Oct 5, 2016

Did you know it is National Work Life Week? The week is an opportunity for both employers and employees to focus on the importance of work-life balance and general well-being at work. Employees with a healthy work-life balance are more likely to flourish in the workplace, so it’s in employer’s best interests to help them achieve this.

The term ‘work–life balance' refers to a healthy balance between work and other aspects of our lives. Proactive work-life balance measures benefit not only the employees, but also employers. It can help create greater satisfaction with quality of life, lower levels of stress and physical improvements, such as increased energy. A poor balance between an employee’s work commitments and their other responsibilities can lead to stress, high absence and low productivity.

These days finding a suitable balance between work and home can seem almost impossible to achieve which is why we have outlined a few tips to help you put it in place.

  1. Be Flexible

Flexible working is one of the most useful tools in helping workers achieve a healthy work-life balance. More than ever, employees are increasingly concerned about work-life balance and organisations which offer flexi time can often find increased levels of satisfaction among employees. Flexible working can allow employees the ability to adapt their ways of working to best suit their needs, while still being fully committed to their careers.

  1. Set Priorities

There are only so many hours in a day. So ensuring you have enough time after work for personal situations and relaxation, involves organisation and prioritisation of tasks. You can’t go wrong with an old fashioned to-do list. When you have a lot of tasks to do there is no better feeling than crossing some of them off the list! To feel more balanced in life, simply create lists and set your priorities. Put the most important things on the top, such as deadlines in work or important tasks and family time. This will help keep your work and home life balanced.

  1. Schedule Downtime

Taking time for yourself is important to recharge batteries at times. Something as small as going for a walk during your break, reading a book or going to the gym. With flexible working, you could have the opportunity to work out/get a walk in before or during work. This would also free up some time after work to relax or do something for yourself. Getting out of the office during your lunch break can also do wonders by helping you unwind – it could involve going for a walk, watching a movie on your phone or simply reading a book.

  1. Plan Ahead

Being organised is a great way to help improve your work-life balance. A good way to start is by adding reminders to your calendar so you’re aware of upcoming meetings and appointments. This way it will be easier to make plans and time for yourself around these important deadlines. It can also be less stressful if you plan ahead and don't leave tasks until the last minute.

  1. Remember to Unwind

With so much technology and so many ways to stay plugged in to work after hours, it is important to allow our minds a break when we are doing other activities. Pretty much every piece of technology has an off button, so it is time to use it. This can be easier said than done so it is best to do it in phases:

  • Don’t bring your phone to the dinner table
  • When you are on holidays, be on holidays
  • Don’t bring your phone/tablet to the beach
  • Disable email/notifications on your phone
  • Distract yourself from looking up work emails after hours

Try out these tips so that you can experience less stress and more peace and fulfilment in your life. This is the perfect week to give it a go. You will be pleasantly surprised at how well you will feel!

Don't Let the Bus Strike Put You Out!

Posted by Eimear McCarthy on Thu, Sep 29, 2016

The nightmare of a transport strike is upon us again, coming into action when everything is getting back to normal after the summer holidays. Staff at Dublin Bus have staged strikes as part of a campaign for higher pay. Around 400,000 people use Dublin Bus each day and Dublin retailers claim sales have plummeted by as much as 60% due to the strike action.

Everyone will be leaving earlier in the mornings to make it into the office for 9am and without the use of bus lanes, extra volumes of traffic are expected to build up, causing even more delays with extremely heavy traffic on all routes in and out of Dublin City.

I am extremely lucky as my commute from Dublin to our HQ in Bray, Wicklow is made without any stress during the strikes as here at Softworks, we have flexible working.

One of the main implications that can arise from a bus strike is the fact that employees who rely on Dublin Bus for their commute, could be late for work due to the fact that they will not have access to public transport. In addition, those who commute by car, will be disrupted by an increase of traffic volumes.

Below are a few ways to help you get to work on time during the strike:

1. Working from Home

If you will find it difficult to get to work on time during the days of the strike and it is an option in your workplace, work from home. This will not only save you extra travel time but also costs if you are relying on expensive means such as taxis to get to and from work. It will also reduce the level of stress caused by rushing to make it into the office on time.

2. Cycling and Carpooling

If flexible working is not an option, employees should be encouraged to cycle to work these days. It would be worthwhile to inquire about a Bike to Work scheme. You could also make use of Dublin Bikes. You can get a three-day ticket for €5, and it is only €20 for an annual subscription and the first half hour of every journey is free. Carpooling is another option as the less cars on the road the better. Not only will carpooling save you money, it will help reduce your carbon footprint along with stress. It will also reduce traffic congestion which I am sure everyone will be thankful for.

3. Flexible Working

If your company already offers flexible working then you are one of the lucky ones as your commute to and from work during this strike will be a lot less stressful. Instead of leaving earlier than usual and being stuck in traffic, you could head in to the office for 8am and leave at 4:30pm, before rush hour comes into effect. You could also go in to work for 10am and finish up at 6:30pm, also beating all of the traffic.

There are many benefits to Flexible Working:

  • Improved job satisfaction, morale, and productivity
  • Increased customer loyalty and customer satisfaction due to lower staff turnover
  • Higher productivity
  • Happier employees
  • Reduced level of absenteeism
  • Remove or reduce overtime
  • Lower staff turnover
  • Automate holiday requests
  • Improved balance of work and family life

So, if you are lucky enough to have flexible working, make the most of it, especially with the bus strikes in place. Remember, there are a lot of people who would love to get into work early and leave before the rush hour traffic builds up but unfortunately, they don’t have the choice.

Did you know September is Self-Improvement Month?

Posted by Eimear McCarthy on Tue, Sep 6, 2016

September is all about getting back into the swing of things - it’s back to school, back to a routine and back to cooler weather. With September being Self-Improvement Month, it’s a great time to find new ways to improve yourself. Continuously improving yourself can provide immense benefits, including improving your self-worth and growing your self-confidence. One forgotten area is the workplace - seeing as we all spend so much time at work, it seems like the ideal place to start improving. Improving yourself at work can prove to be very constructive. Begin your journey to self-improvement in the workplace with these simple steps:

1. Get Organised

One of the hardest parts of self-improvement is that we often set huge, unattainable goals for ourselves and feel bad when we don’t feel like we’ve made any progress. This month, set a simple numerical goal for yourself in an area that you want to get better at. Below are a few suggestions:

  • X number of workouts for the month
  • Make a to do list in work & start with the priorities
  • Start the project in work which you have been putting on hold

2. Plan out your Goals

Without a plan a goal is just a dream. Turn your ideas, dreams and desires into reality with a well thought out plan. If you want to get fit, eat healthier and go for walks or to the gym. If you want to learn how to do something new, take classes/lessons. If you want to get something done in work, start by making a list of what needs to be done and follow it through. Once you start, the rest will fall into place more easily.

3. Be Healthy in the Workplace

Stress in the workplace today is a major concern for employees and employers. Less stressed employees will become more productive and less likely to require time off due to illness. To help combat stress, you can put the following tips to the test:

  • Go to the gym in the morning, on your lunch break or after work. With flexible working, it is much easier to get things done before, during and after work.
  • Check if your company provides discounts for gym memberships.
  • Bring your own lunch to work, along with fruit/healthy snacks to stop you from eating unhealthy food throughout the day.

You can find out more health tips from our blog: A Healthy Workplace is a Happy Workplace.

4. Schedule 20 Minutes of Daily "Me Time" to Relax and De-Stress

Do you have a hard time finding time for yourself? If so, try scheduling it. Pencil in time for yourself just like you would an appointment, then stick to your “date” for an entire month. This could be anything from fitting in a walk on your lunch break to reading a book. You might not think that 20 minutes is very long, but it will make a difference.

5. Improve your Business with Softworks

The steps for self improvement revolve around our health, getting organised, setting goals in the workplace and overall, improving ourselves for the better. But what about our businesses? It might be time to start thinking about how you can improve your business with the help from SoftworksConstant and continuous improvement is essential for both our personal and professional growth.

Not only can Softworks benefit your company, it can also benefit you and your employees. Take Flexible Working, it can lead to a healthy work-life balance along with improved job satisfaction, increased energy, better staff morale and reduced levels of stress. Having the right work-life balance is increasingly important these days with more and more people finding that their working day is getting longer as businesses struggle to keep up with the demand for 24 hour services.

Come check out our website to see how Softworks can improve your business today!

If you do one thing each day you will surely notice a snowball effect, and before you know it your Self-Improvement Month goals have become your daily life experience.
